Atre Co., Ltd. Basic Policy on Protection of Personal Information

Atre Co., Ltd. (hereinafter referred to as “the Company”) has established voluntary management rule systems related to the personal information of its customers, business partners, and employees, which it uses throughout the process of doing business so that laws, regulations, and other norms concerning the protection of personal information can be complied with.
This Policy is the most significant policy of the Company concerning the protection of personal information. We hereby declare that we will without fail implement the various measures, in accordance with this Policy.

Declaration of safety concerning the handling of personal information

  1. The Company will manage customer information and other personal information in an appropriate and strict manner, and take thorough safety measures against leakage, loss, destruction of, alteration of, or unauthorized access to, such information.
  2. The Company will comply with laws, regulations, and other norms concerning the protection of personal information.
  3. The Company will appropriately respond to any inquiry concerning personal information and the protection thereof.
  4. The Company will appropriately collect personal information, and will not provide it to any third party without the relevant individual’s prior approval.
  5. The Company will ensure that all of its officers, employees, and related individuals completely understand the provisions stated above. The Company will implement these provisions, and improve and maintain such implementation.
1. Collection of personal information
The Company will collect personal information in a proper and lawful manner.
2. Purpose of use of personal information
The Company will use the acquired personal information for the following purposes:
  1. To provide information on various events and services in shopping centers operated by the Company
  2. To conduct surveys of market trends related to shopping centers operated by the Company
  3. To provide information on the services, etc., of directly managed shops and tenant shops
  4. To provide materials and information requested by customers
    For communication with applicants in regard to events and public offerings (such as campaigns)
  5. To respond to inquiries made by customers
3. Scope of use of personal information
(1) Provision to outsourcing contractors
The Company may provide minimal personal information to outsourcing contractors, within the scope necessary for achieving the purposes of its use. In that case, the Company will demand and ensure management in accordance with this Policy by the outsourcing contractors.
(2) Provision to third parties
The Company will not provide personal information to any third parties, other than tenants and outsourcing contractors, without the relevant individual’s prior approval.
Notwithstanding the foregoing, personal information may be provided to a third party without your prior approval:
  1. When such provision is required by laws and regulations;
  2. When provision of your personal information is necessary for the protection of an individuals life, limb, and property, and your approval is difficult to obtain;
  3. When provision of your personal information is specifically necessary for improvement of public health or the sound upbringing of children, and your approval is difficult to obtain;
  4. When provision of your personal information is necessary for cooperation with a state organ, a local government, or an individual or business operator entrusted by any of the former in the execution of affairs prescribed by laws and regulations, and obtaining your approval is likely to impede the execution of the affairs concerned; and
  5. When information is disclosed or provided in the form of statistical data, etc., that does not identify any individual.

<Joint use of JRE POINT member information>
In connection with JRE POINT, which is operated by the East Japan Railway Company (hereinafter referred to as “JR East Japan”), the Company may jointly use JRE POINT membership information as follows, in accordance with the terms of use of JRE POINT. In jointly using such information, the Company will make efforts to manage and supervise information in accordance with the provisions of the Personal Information Protection Act, and guidelines thereof.


(1)Items to be shared
  1. Matters registered by members when they apply for membership or after they are enrolled as a member, such as their name, address, telephone number, date of birth, gender, and e-mail address
  2. Matters concerning contracts between members and JR East Japan, such as the date of enrollment in JRE POINT, and the number on the JRE POINT membership card
  3. Information obtained through members situations of use of JRE POINT services, and telephone inquiries made by members (including matters discussed on the telephone)
(2)Scope of joint use
JR East Japan and its group companies, as specified in its financial statement reports
(3)Purpose of use
  1. To provide JRE POINT services and point privileges
  2. To conduct market research and product development, based on the situation of use of JRE POINT services
  3. For communications necessary for transactions with members, and confirmation of details of transactions
  4. To assist those who jointly use personal information in accordance with the terms of use of the JRE POINT register, and to maintain and manage a member organization
  5. To provide information to a third party through statutory procedures, in connection with the provision of JRE POINT services
  6. For other purposes that are similar to, or related to, those listed above

※For joint use of the member information of those who were members of the Atre Club or the Box Hills Card, operated by Atre Co., Ltd. as of February 22, 2016, and who have not taken the procedures for newly accepting the terms of use of JRE POINT, please see below. (As a result of the company split as of February 22, 2016, members of the former Atre Club and the former Box Hills Card have become members of JRE POINT.)

The Company will jointly use the JRE POINT membership information of those who were members of the Atre Club or the Box Hills Card, operated by the Company as of February 22, 2016, and who have not taken the procedures for newly accepting the terms of use of JRE POINT as follows, in accordance with the terms of use of JRE POINT (for those transferred from their Atre Club or Box Hills Card membership). In jointly using such information, the Company will make efforts to manage and supervise information in accordance with the provisions of the Personal Information Protection Act, and guidelines thereof. (As a result of the company split as of February 22, 2016, members of the former Atre Club and Box Hills Card have become members of JRE POINT.)

  1. Member name, address, telephone number, date of birth, gender, age, e-mail address, and other information that includes information obtained by JR East Japan through, for example, notification by the relevant member
  2. Information such as the enrollment date and store, membership number, status of the membership card, information necessary for granting and using points, and history of the granting of and use of points (including information on the date and store of use, the amount used, purchased commodities, and settlement means)
  3. Content of inquiries made by members at the JRE POINT call center, or the information center of Atre (including audio information during telephone calls)

  6. To respond to inquiries made by members

4. Disclosure
As for your personal information obtained by the Company, when you request disclosure of your own information, the Company will respond appropriately to that request within a reasonable period of time, after confirmation of your identity.
5. Correction, deletion, etc.
As for your personal information obtained by the Company, when you request correction, addition, or deletion of your own information, the Company will appropriately correct, add, or delete that information within a reasonable period of time, if there is anything that is factually incorrect, after confirmation of your identity.
6. Suspension of use and elimination
As for your personal information obtained by the Company, when you request suspension of use or elimination of your own information, the Company will appropriately suspend use of that information or eliminate that information within a reasonable period of time, after confirmation of your identity.
Please understand that you may be unable to receive your desired services as a result of suspension of use or elimination of all or part of said information. Thank you in advance for your cooperation.
7. Information management, and safety measures
  1. The Company will manage personal information in an appropriate and strict manner, and take thorough safety measures against leakage, loss, destruction of, alteration of, or unauthorized access to, such information.
  2. The Company will conduct education and awareness-raising activities for all employees, so that personal information will be handled properly, with each department head taking charge of management and promotion.
  3. When personal information is provided to outsourcing contractors, the Company shall enter into an agreement with such outsourcing contractors that obliges the contractors to properly handle personal information, and regularly confirm the status of such management.
8. Inquiries concerning personal information
The Company will provide an inquiry desk concerning the disclosure, etc., of personal information, and promptly and appropriately respond to inquiries in accordance with laws and regulations.
If you have any inquiry, please contact the following desk by telephone, FAX, mail, or e-mail. After confirming your identity (or that of your agent), we will respond to your inquiry through provision of a written reply, or otherwise. Depending on the content of your inquiry, you may be asked to submit an application form that is prescribed by the Company. Furthermore, depending on the content of the required disclosure, etc., a fee may be charged.
